All quotes, proposals, bookings, event details, service scopes, timelines, fees, deposits, and deliverables must be confirmed in writing. Bartelini reserves the right to accept, decline, modify, reschedule, or cancel any service request based on availability, event requirements, safety concerns, legal compliance, venue rules, staffing, vendor availability, or other valid business reasons. Unless otherwise stated in a written agreement, any quote or proposal is valid only for the period stated in that quote or proposal.
5. Payments, Deposits and Cancellations
Payment terms, deposits, cancellation conditions, rescheduling rules, refund eligibility, and service fees may vary depending on the event type, project scope, staffing requirements, vendors, venue, timeline, and service agreement. Deposits or advance payments may be non-refundable unless otherwise stated in writing. If a client cancels, delays, changes, or reduces the scope of an event or service, the client may remain responsible for agreed fees, staffing costs, vendor costs, production costs, preparation time, and other committed expenses. Specific payment, cancellation, and refund terms will be stated in the applicable proposal, invoice, booking confirmation, or service agreement.
6. Alcohol-Related Services
Some Bartelini services may involve beverage planning, bar setup guidance, cocktail or mocktail menu planning, bartender staffing coordination, vendor coordination, or responsible service support. Bartelini and BWBAY LLC do not sell, purchase, transport, store, deliver, broker, or distribute alcoholic beverages, and do not provide a liquor license or permit for any event. All alcohol must be legally provided by the client, venue, licensed caterer, licensed retailer, or another authorized alcohol provider. Events involving alcoholic beverages are also subject to Bartelini’s Responsible Beverage Service & Alcohol Compliance Policy, applicable laws, venue rules, licensing requirements, insurance requirements, and location-specific regulations. Bartelini reserves the right to refuse, suspend, modify, or stop alcohol-related support if legal, safety, venue, licensing, insurance, or compliance concerns are identified.
7. Third-Party Vendors and Venues
Some events may involve third-party venues, caterers, licensed alcohol providers, staffing teams, security, production vendors, transportation providers, musicians, artists, entertainers, photographers, designers, or other service providers. Unless expressly agreed in writing, third-party vendors are independent providers and are not employees, agents, or representatives of Bartelini or BWBAY LLC. The client is responsible for reviewing, approving, and confirming that any required vendor licenses, permits, insurance, venue approvals, and service requirements are properly arranged. Bartelini may assist with communication, timing, setup, hospitality flow, and coordination, but is not responsible for the acts, omissions, service quality, licensing, insurance, or legal compliance of independent third-party vendors unless expressly agreed in writing.
8. User Content, Photos and Media
If you submit, provide, tag, post, or authorize the use of photos, videos, testimonials, comments, ideas, or other materials related to Bartelini or BWBAY LLC, you confirm that you have the right to share such content. You grant Bartelini and BWBAY LLC a non-exclusive, royalty-free, worldwide license to use, display, reproduce, edit, and publish such content for marketing, portfolio, website, social media, promotional, and business purposes, unless otherwise agreed in writing. We reserve the right to remove or refuse any content that is offensive, unlawful, misleading, inappropriate, or violates third-party rights.
