Booking, Changes, Cancellation & Refund Policy

Bartelini.com, is owned and operated by BWBAY LLC. The design, content creation, branding, and website management services are provided by D7 Strategy, a trade name (DBA) of BWBAY LLC.
This Booking, Changes, Cancellation & Refund Policy applies to Bartelini services provided by BWBAY LLC, including hospitality coordination, private events, lifestyle experiences, beverage planning, vendor coordination, staffing coordination, creative event concepts, and related services in New Jersey, New York, and New York City. By confirming a booking, submitting payment, or authorizing services, the client agrees to this policy, along with any applicable proposal, invoice, service agreement, Terms and Conditions, and Responsible Beverage Service & Alcohol Compliance Policy.
1. Booking Confirmation
A booking is confirmed only after Bartelini confirms the service in writing and the required deposit or payment has been received. Submitting an inquiry, request, form, email, or message does not guarantee availability or confirm a booking.
2. Deposit and Payment
Unless otherwise stated in writing, a 50% deposit is required to secure the event date. Deposits are non-refundable unless Bartelini is unable to provide the confirmed service and no reasonable rescheduling or service adjustment is available. Additional services, add-ons, overtime, staffing changes, vendor costs, production costs, travel, parking, tolls, venue access fees, or other event-related expenses may be invoiced separately or added to the final invoice.
3. Changes and Adjustments
Requests to change guest count, service duration, location, schedule, staffing, setup needs, add-ons, or service scope should be submitted in writing as early as possible, preferably at least 48–72 hours before the event. Last-minute changes are subject to availability and are not guaranteed. Additional fees may apply if changes require extra staffing, preparation, vendors, equipment, transportation, overtime, or revised logistics.
4. Cancellations by Client
If the client cancels a confirmed booking, the deposit is non-refundable.
Unless otherwise stated in writing:
Cancellations more than 7 days before the event: deposit is forfeited.
Cancellations within 72 hours of the event: Bartelini may charge up to 100% of the total service fee.
Any committed vendor costs, staffing costs, production costs, custom preparation, venue-related costs, travel, or third-party expenses may also remain payable by the client.
5. Rescheduling
One-time rescheduling may be allowed subject to availability, provided written notice is given at least 7–14 days before the event. If approved, the deposit may be transferred to the new event date. Additional rescheduling requests, major changes, or short-notice rescheduling may require additional fees or a new deposit.
6. Event Conditions and Client Responsibility
The client is responsible for providing accurate event details, including date, time, location, venue access, guest count, schedule, service expectations, and any venue rules. The client is also responsible for ensuring that the event complies with applicable state, city, municipal, venue, safety, insurance, and legal requirements. Bartelini is not responsible for delays, interruptions, limitations, or service changes caused by inaccurate information, venue restrictions, late access, guest behavior, vendor issues, parking limitations, building rules, security procedures, or circumstances outside our reasonable control.
7. Alcohol-Related Events
For events involving alcoholic beverages, the client is responsible for ensuring that all alcohol is legally provided, all guests consuming alcohol are 21 or older, and all required permits, licenses, venue approvals, insurance, and safety arrangements are properly handled. Bartelini and BWBAY LLC do not sell, purchase, transport, store, deliver, broker, or distribute alcoholic beverages, and do not provide a liquor license or permit for events. Alcohol-related services are also subject to Bartelini’s Responsible Beverage Service & Alcohol Compliance Policy.
8. Third-Party Vendors and Venues
Some events may involve venues, caterers, licensed alcohol providers, staffing teams, security, production vendors, entertainers, photographers, transportation providers, or other third-party vendors. Unless expressly agreed in writing, third-party vendors are independent providers and are not employees, agents, or representatives of Bartelini or BWBAY LLC. The client is responsible for reviewing, approving, and confirming any required vendor licenses, insurance, permits, venue approvals, and service requirements.
9. Force Majeure
Bartelini is not liable for cancellations, delays, interruptions, or service limitations caused by circumstances beyond reasonable control, including extreme weather, venue closures, transportation disruptions, government restrictions, emergencies, illness, safety threats, or other unforeseeable events. In such cases, Bartelini will make reasonable efforts to discuss rescheduling, service adjustments, or available alternatives when possible.
10. Refunds
Refunds, if applicable, will be reviewed based on the confirmed service agreement, invoice, payment status, cancellation timing, vendor commitments, work already performed, and expenses already incurred. Deposits, custom preparation, planning time, staffing commitments, vendor costs, production costs, travel, parking, tolls, and other committed event expenses may be non-refundable. No refund is guaranteed unless expressly stated in writing.
